Privacy Policy

NEX HRMS is a workforce management app and web portal (hrms.techbrahma.in) operated by Nexshastra Tech Pvt. Ltd. ("we", "us"). Employees use NEX HRMS through an account created by their employer. Your employer decides what data is collected through the service and remains the controller of that data; we build and host the software on their behalf.

• Account and profile data — your name, username, contact details, designation, department and employment details, provided by your employer when your account is created.
• Attendance records — punch in/out and break times recorded when you use the app or an attendance kiosk.
• Selfie photos and face data — a selfie is captured at each punch and uploaded to your employer's HRMS server, where it is converted into a numerical face template and compared with your enrolled photos to confirm it is really you punching. The on-device face detection that frames your selfie runs locally on your phone; your photos are not sent to Google or any other third party.
• Location — your GPS position is captured at the moment of a punch or break so your employer can verify where attendance was marked. The app does not track your location in the background or between punches.
• Leave, payroll and holiday information — shown in the app from records your employer maintains, so you can view balances and payslips.

The data above is used only to run your employer's HR processes: recording and verifying attendance, preventing punching on someone else's behalf, calculating working hours and payroll, and managing leave. We do not use it for advertising, and the app contains no advertising or third-party analytics SDKs.

Your data is visible to the authorised HR and admin staff of your employer, and to nobody else. We never sell personal data. All data is stored on servers located in India and is transmitted only over encrypted (HTTPS) connections.

Attendance records, selfies and related data are retained for as long as your employer requires them for HR and statutory purposes. Server backups are rotated automatically. To correct or delete your data, or to close your account, contact your employer's HR administrator — accounts are created and managed by employers. You can also write to us at support@nexshastra.com and we will route the request to your employer or act on it where we are able to.

• Location — to attach your position to a punch.
• Internet — to communicate with your employer's HRMS server.

NEX HRMS is a workplace tool intended for employed adults aged 18 or over. It is not directed at children.
